Administrative Assistant

 

Job Description:

  1. Office Support: Provide general administrative and clerical support to ensure the smooth operation of the office.
  2. Scheduling: Manage and coordinate schedules, appointments, and meetings for staff and supervisors.
  3. Communication: Answer and direct phone calls, emails, and inquiries to the appropriate personnel.
  4. Data Entry: Perform data entry, maintain records, and update databases as needed.
  5. Documentation: Prepare and edit documents, reports, and correspondence.
  6. Filing: Organize and maintain physical and electronic filing systems.
  7. Office Supplies: Order, stock, and manage office supplies and equipment.
  8. Guests and Visitors: Greet and assist guests, clients, and visitors to the office.
  9. Travel Arrangements: Make travel arrangements, including booking flights, accommodations, and transportation.
  10. Meeting Support: Set up and coordinate meetings, conferences, and training sessions, including arranging for materials and refreshments.
  11. Reports: Assist in preparing regular reports and presentations.
  12. Problem Solving: Resolve administrative problems and inquiries as needed.


Qualifications:

  • High school diploma or equivalent; some college or administrative training is a plus.
  • Proven experience as an administrative assistant or in a related role.
  • Proficient in Microsoft Office and office management software.
  • Excellent communication and interpersonal skills.
  • Organizational and time-management abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Discretion with sensitive information and a professional demeanor.
  • Basic knowledge of office equipment and systems.
